Position: Office Assistant/Receptionist

Salary: $25,000 Annually

Summary:           
This position and all of its components are dedicated to providing excellent customer service, and assisting all staff.  Duties include, but are not limited to, answering telephones, data entry, incoming and outgoing correspondence management, client/customer interface and filing.  Extensive skills using Microsoft programs and word processing are required, as well as strong communication and customer service abilities.
                               
Essential Duties and Responsibilities:
60% - Fielding telephone calls from a variety of clients; includes answering basic and technical questions, routing calls, arranging call backs if necessary and phone appointments.

30%  - Inputting and updating filing information into a Microsoft Access database.
Maintaining and filing within a complex filing system.

10% - Preparing, mailing, emailing or faxing letters to clients.
Obtaining and distributing mail.

Requirements:

  • Bachelor’s degree
  • One year of experience working as a receptionist
  • Excellent verbal and written communication skills
  • Acute attention to detail and organizational skills
  • Energetic and enthusiastic
  • Tolerance of those who speak English as a second language
  • Extensive knowledge of Microsoft Word, Excel, and Access, as well as typing skills of 50 wpm, minimum
  • Physical requirement: must be able to walk to and from post office

Preferred Skills:

  • More than one year of experience working as a receptionist
  • Experience working in higher education, preferably admissions
  • Experience working with those who speak English as a second language
  • Bilingual
